Free AI automation templates

Six free templates for planning, buying and testing AI automation: a process map, an opportunity scoring sheet, a RAG test set, a month-end close inventory, a vendor security questionnaire and a requirements checklist. Each one is on the page. Copy it as CSV, for Sheets or as Markdown. No email, no download.

Which template answers which question

Start from the question you are trying to settle.

Your questionTemplateWhat you end up with
How does this workflow actually run today?Workflow process map templateA step-by-step map with timings and a Rules, Model or Person tag on every step
Which workflow should we automate first?Automation opportunity scoring templateA ranked register with a weighted score, hours per month and a decision for each workflow
Will the assistant answer correctly from our documents?RAG evaluation test set templateA test set you can rerun on every change, and a log of failures by type
What does our close involve, task by task?Month-end close task inventory templateA sortable inventory that becomes your close calendar and shows what to automate
What should we ask an AI vendor before we share data?AI vendor security questionnaireA completed questionnaire, an evidence list and a rating for every answer
What should our brief or statement of work cover?AI project requirements template and SOW checklistA requirements document you can hand to a vendor, or a checklist to review their proposal

An order for scoping a first project

Four of the six fit together. The RAG test set and the close inventory are for systems you already run or are building.

  1. 1

    Map the workflow

Record how it runs today, with timings and exceptions.

  2. 2

    Score the candidates

Rank several mapped workflows and pick the first pilot.

  3. 3

    Write the requirements

Settle scope, thresholds and terms before anyone signs.

  4. 4

    Check the vendor

Ask every AI vendor the same security questions.

When a template is not enough

A template organizes the questions. A workflow audit measures a real sample and tests on your past cases. The free tools run the numbers for you, and how we work shows where approvals sit in a project.

Questions about the templates

Are the templates really free?

Yes. There is no email gate, no account and no download. Each template is on its page, and the copy buttons put it on your clipboard as CSV, tab-separated text for Sheets, or Markdown.

How do I get a template into Excel or Google Sheets?

Use Copy for Sheets, click cell A1 and paste. The text is tab-separated, so it lands in separate cells in both. Copy as CSV is for saving a .csv file or importing, and Copy as Markdown suits a wiki or a document.

Which template should I start with?

If you are choosing what to automate, start with the process map, then the opportunity scoring sheet. If you are buying, use the requirements checklist and the vendor security questionnaire. If a system is already built, use the RAG test set or the close inventory.

Can I change the templates?

Yes, copy them into your own sheets and change anything. The weights, thresholds and questions are starting points, and the pages say where to adjust them.

Do the templates replace an audit or legal review?

No. They organize the work and the questions. A workflow audit measures a real sample and tests on your past cases, and a lawyer should read any contract. The templates get you ready for both.

Filled one in and want a second opinion?

A 30-minute call with an engineer. You will leave knowing what a system could do for that workflow and what it would take to build.

We map the process and measure where a system would save the most time.

  3. 3

    Proposal

A written scope, timeline and fixed price for your first system. No obligation to build.
