Reporting and data
Property managers use AI for the high-volume admin around each unit: answering maintenance calls day and night and opening work orders, replying to leasing inquiries from current availability, checking application files, abstracting leases, matching vendor invoices to work orders and drafting owner reports. It works inside AppFolio, Buildium or Yardi, and your team approves the decisions.
The work we hear about most from property management teams.
Residents call about leaks, lockouts and broken heat at night and on weekends. An answering service takes a message, the on-call manager gets woken up for a dripping tap, and a real emergency can wait behind it.
Requests arrive by phone, text, email and the resident portal. Someone retypes each one into the property management system, chases the resident for photos and access times, then calls a vendor.
Prospects ask about availability, pet policy and move-in costs from listing sites at all hours. By the time a leasing agent replies the next morning, many have booked a showing somewhere else.
Vendor invoices are keyed into the accounting system, matched to work orders and coded to the right property, then owner statements and commentary are put together from exports.
Each one built around your current tools and rules, with your team approving the steps you choose.
A voice agent answers resident calls day and night, identifies the unit, asks the right questions for the issue type, collects photos and access windows by text, and opens the work order in your system. Emergencies follow your escalation rules; routine requests wait for business hours.
Inquiries from listing sites, your website and email are answered from your current availability, pricing and policies. Prospects can book a showing into an agent’s calendar, and every conversation is logged against the lead.
Pay stubs, IDs, bank statements and references are collected, checked for completeness and legibility, and matched to the application. Your leasing team sees a complete file with gaps listed. Approval decisions stay with your team and your screening criteria.
Leases and amendments are read and the terms you track (rent, escalations, renewal options, CAM and recovery clauses, notice dates) are extracted with a link back to the clause. Uncertain fields go to a reviewer before anything is written to your records.
Invoices from vendors and contractors are captured from email, matched to the work order and property, checked against agreed rates or not-to-exceed amounts, and routed for approval before they are posted as bills.
Monthly owner packages are assembled from your property management and accounting data, with a short written summary of occupancy, maintenance spend and notable items. A property manager reviews each package before it goes out.
Including tools like these, and anything else with an API.

Your workflow
A system designed for the function you want to automate next, built on the same architecture as the ones above.
Discuss your workflowIt depends on the workflows, the number of properties and call or document volume. Most companies start with a fixed-fee workflow audit on one workflow, such as maintenance calls, which ends with a build plan and a fixed price. Running the system after launch is a monthly fee.
We integrate through each platform’s API where one is available to you, and use controlled browser automation for steps that have no API, with the same logging and permissions. We confirm what your specific plan allows during the audit, before quoting.
You define the rules: for example, active water leaks, no heat in cold weather, gas smells, lockouts and security issues. The agent asks follow-up questions to classify the call, and when it is unsure it treats the call as urgent and escalates. We test the rules on recorded or scripted calls before launch.
Whoever your on-call schedule says. The agent pages the on-call person with a summary and the resident’s details, can dispatch an approved emergency vendor if you allow it, and logs everything to the work order. Routine requests are logged and wait for the morning.
It stays in your systems and in an environment we manage for you, with access limited to the agents and people who need it. It is not used to train models for other clients. Retention follows your policy.
It takes over intake and paperwork: answering routine calls, logging work orders, chasing documents and keying invoices. Residents, owners and vendors still need a person for judgment calls, disputes and anything involving someone’s home. Your managers spend less time on the phone and more on the portfolio.
It is a set of AI workflows that run inside the property management software you already use, so there is no new platform to migrate to. Records, work orders and ledgers stay in AppFolio, Buildium, Yardi or Rent Manager.
Rate confirmations, BOLs, PODs, carrier invoices and status updates, handled in your TMS.
Client intake, document collection, engagement letters, deadlines and billing, automated.
