ChatGPT Enterprise vs custom AI agents
Start with an off-the-shelf assistant when the goal is helping people write, search, summarize and analyze. It costs a seat fee and needs no integration project. Build custom agents when the work is a business process that must read your documents, write to your ERP or CRM, follow your rules and leave an audit trail. Many teams run both.
Plan and price details are from vendor pages checked October 16, 2026. They vary by region and change often.

Where it is weakest (our view)
- ChatGPT Business and Enterprise
- A repeated process with volume, writes to a system of record and a per-case audit trail.
- Microsoft 365 Copilot
- Work outside Microsoft apps, and processes where the logic has to be exact.
- Claude Team and Enterprise
- Processes that need to run unattended on a trigger, with controls you define.
- Gemini in Google Workspace
- Cross-system processes that reach beyond Workspace.
- Custom AI agents
- One-off questions and personal productivity. You would pay for a build you do not need.

When each approach wins
Choose an off-the-shelf assistant when…
Many teams already have one of these, and it is a sound first step. You can roll it out in days.
- The use is personal: drafting emails, summarizing meetings, analyzing a spreadsheet, searching shared files.
- Your company already runs on Microsoft 365 or Google Workspace, and the assistant works inside those apps.
- The tasks are varied and rarely repeated, so no single one justifies a build.
Choose custom agents when…
A seat-based assistant helps a person do a task. A custom agent does a defined business process.
- The work repeats at volume and follows rules, such as 2,000 supplier invoices a month matched to purchase orders.
- It has to write into a system of record, with an approval step and a log per case.
- It must start on an event, such as an email arriving, without a person typing a prompt.
Try the vendor's own agent builder when…
Microsoft, Google, OpenAI and Anthropic all sell ways to connect their assistants to your apps. For a short workflow inside one vendor's ecosystem, that may be enough.
- The process is a few steps inside Microsoft 365 or Google Workspace, and a business user can maintain it.
- You accept the vendor's credit or usage pricing and its limits on unattended runs.
- Nobody needs a custom audit trail, and mistakes are cheap to reverse.
Run both when…
A common outcome, and a sensible one.
- Staff use the assistant for personal work, while custom agents run the processes that touch money, customers or records.
- The assistant is the front door for questions, and an agent behind it does the lookup or the update.
- Spend on seats and spend on agents are tracked separately, so you can see which one pays back.
Limits of this comparison
- Prices are US list prices on October 16, 2026. Regions, currencies, taxes and enterprise discounts change them, and most enterprise tiers are by quote.
- We could not read some OpenAI pages directly, so ChatGPT details come from OpenAI's learn.chatgpt.com documentation. Check the current plan page before you decide.
- We have not tested these assistants on your documents or systems, and we make no claim about answer quality. Run a pilot on your own cases.
- The products add features every few months. A gap listed here may be closed by the time you read this, and the reverse can also be true.
- Custom agents carry costs a seat does not: building, testing on real cases and monitoring. For personal productivity they are rarely worth it.
Where Scenox Studios fits
We build custom agents for the processes an assistant is a poor fit for: reading documents, applying your rules, updating your systems and asking a person before anything consequential happens. If an assistant you already pay for covers the job, we will say that on the first call.

Questions people ask
Is ChatGPT Enterprise enough for my business?
For individual productivity, usually yes. It gives staff an assistant with admin controls, and OpenAI lists no training on business data by default. It is not built to run a repeatable process by itself, such as matching invoices to purchase orders and posting them to your ERP with an audit trail per case. That is where custom agents come in.
What is the difference between ChatGPT Business and Enterprise?
As of October 2026, OpenAI lists Business at $20 per user per month billed annually with SAML SSO and essential admin controls. Enterprise and Edu are by quote and add priority processing, SCIM, EKM, role-based access, Compliance API audit logs, and retention and residency controls. SCIM is not included in Business.
Can Microsoft 365 Copilot replace a custom AI agent?
It can for work inside Microsoft apps, such as drafting in Word or summarizing in Teams. Microsoft's pricing page says agents are built with Copilot Studio, which has its own credit pricing and needs an Azure subscription. For a process that spans your ERP, mailbox and approvals with exact rules, a purpose-built agent gives you more control over logic and logging.
Is my company data used to train these models?
From the vendor pages we read: OpenAI lists no training on business data by default, Anthropic lists none by default on Team and Enterprise, and Google says company data is not used for AI model training. Microsoft's page lists Enterprise Data Protection but does not state a training default, so check its product terms.
How does the cost of a custom agent compare with a $30 seat?
They scale differently. A seat price grows with the number of people, while a custom agent's cost grows with the volume of work, after a one-time build. Fifty seats at $30 is $1,500 a month in list price. An agent that handles one process for the whole company has a build cost and a per-run cost instead. Our cost guide shows the drivers.
