HubSpot automation with AI agents
We build AI agents on top of HubSpot that route new leads, enrich contact and company records, keep deals accurate, draft follow-ups and hand closed deals to finance. HubSpot's native workflows keep the simple branches. The agents take the steps that need reading and judgment. They connect through HubSpot's CRM APIs and write only after your rules agree.
For sales and revenue operations teams on HubSpot who have outgrown workflow branches and spend time cleaning records by hand.
What we automate in HubSpot
The record work around the pipeline, from the first form fill to the closed deal, with your reps deciding what changes.
- 1
Lead routing
New contacts and form fills are read, scored against your ideal customer profile and assigned by territory, segment or capacity. A lead that doesn't fit any rule goes to a person with the reason.
- 2
Enrichment
Company and contact properties are filled from the sources you approve, with the source and date stored on the record. Conflicting values are flagged, not overwritten.
- 3
Deal hygiene
Stale deals, missing next steps, no associated contact and wrong stage are found on a schedule. Owners get a short list each week, and obvious fixes can be applied once they agree.
- 4
Follow-up drafts
After a meeting or a form fill, the agent drafts the follow-up from the notes and the deal context. The rep edits and sends. We don't send on a rep's behalf by default.
- 5
Quote and invoice handoff
When a deal closes, the agent checks the quote for missing fields and hands a clean packet to finance, so the first invoice doesn't wait on questions.
- 6
Duplicate merging
Likely duplicates are grouped with a confidence score. A person reviews each group before records are merged.
How one HubSpot run works
Each step is fixed logic, a model doing the reading, a call to the system, or a person on your team. You decide which steps wait for approval.

How the HubSpot integration works
We build on the interfaces the vendor documents, and we link the documentation so you can check it.
Native workflows are still the right tool for fixed rules, such as "if lifecycle stage changes, create a task". Our agents handle the steps that need reading: a free-text form answer, an email thread, a company website. They write the result back as properties and tasks that your own workflows can use.
We keep a record of why each change happened in custom properties on the record itself, so a sales leader can open any lead and see the routing reason without asking us.
CRM object APIs
HubSpot's object API manages records for contacts, companies, deals and tickets by swapping the object type in the endpoint. We create, read and update those records.
Associations API
Links records across objects, such as a contact to a company or a deal to its contacts. We use it to keep deals attached to the right people.
Properties API
Reads and manages the default and custom properties on each object. We store enrichment source, score and routing reason in custom properties so reports can use them.
Versioned endpoints
HubSpot versions its APIs by date, with paths like /crm/objects/2026-09/contacts under one base URL. We pin a version and review it on a schedule, so a change doesn't break routing.
Vendor documentation we build against
- HubSpot API overview and date-based versioning (HubSpot Developers)
- Understanding the CRM: objects, associations and properties (HubSpot Developers)
Links open the vendor's own site. Interfaces change, so we confirm current behavior in a sandbox before we build.
What we read and write in HubSpot
Reading is the default. Each write has a named gate, so you can see who has to agree before anything changes.
Contacts
Created and updated with enrichment, score and owner.
Gate: Rules; review below confidence threshold
Companies
Enriched and associated with contacts and deals.
Gate: Rules; flagged conflicts reviewed
Deals
Stage hygiene flagged. Fixes applied after the owner agrees.
Gate: Deal owner
Tickets
Read where support context improves routing.
Gate: Read only
Quotes
Read and checked at close before the finance handoff.
Gate: Read, handoff reviewed
Custom properties
Written to store score, source and routing reason.
Gate: Defined with you first
Controls and testing
People stay in charge of money and records. The system keeps the evidence.
Scoped access
The integration gets only the object permissions the workflow needs. Marketing consent properties are never changed by an agent.
Test before the live pipeline
We use a HubSpot sandbox where your plan includes one, and a test pipeline with test records where it doesn't. Real contacts are untouched until routing has been checked.
Every change explained
Each write carries its source, rule and timestamp. Overwrites of human-entered values are off by default.
No surprise emails
Agents draft messages. Sending stays with the rep, unless you choose automated sends for a narrow, approved case.
Where we stop, and what to expect
- Enrichment is only as good as its sources. We show confidence and keep the source on the record, and low-confidence values are never written over good ones.
- We usually don't auto-merge duplicate records. A wrong merge is hard to undo, so a person reviews each group.
- Plan tier affects what HubSpot lets us use, such as sandboxes and some automation features. We check your plan before scoping.
Questions about HubSpot automation
When should I use HubSpot workflows and when an AI agent?
Use native workflows for fixed rules, like creating a task when a stage changes. Use an agent when the step needs reading, like a free-text answer or an email thread. Most teams end up with both, and the agent's output feeds the workflow.
Can AI route leads in HubSpot?
Yes. The agent reads the lead, enriches it, scores it against your profile and assigns an owner by your territory or capacity rules. Leads that don't fit any rule go to a person with the reason shown.
Will it overwrite what our reps entered?
No, not by default. Human-entered values stay, conflicts are flagged, and each automated change records its source and rule on the record.
Does it send emails to prospects?
It drafts them. A rep reviews and sends. If you want automated sends for a narrow case, such as meeting confirmations, we can configure it with your approval and consent rules.
Can it connect HubSpot to our accounting system?
Yes. When a deal closes, the agent checks the quote and hands the details to finance, or creates the customer and invoice draft in a system like NetSuite, QuickBooks or Xero. Finance approves before anything is billed.
