Lease abstraction AI for property managers
Lease abstraction AI reads leases and amendments, pulls out the terms you track (rent, escalations, renewal options, CAM and recovery clauses, notice dates) and links every value to its source clause. A reviewer confirms uncertain fields before anything is written to your lease records or critical-date calendar.

Where the time goes today
What property management teams tell us about this work.
Abstracts are typed from long PDFs
A commercial lease and three amendments can run to many dozens of pages. An analyst reads them to fill in a template, and the amendment that changes the base lease is the one most often missed.
Critical dates live in a spreadsheet
Renewal option windows, termination notices and escalation dates sit in a spreadsheet or a Yardi field somebody keyed once. A date entered wrong is found when the notice window has already closed.
Acquisitions create a backlog
Taking on a new owner or a portfolio means hundreds of leases to abstract before you can bill CAM reconciliations correctly, so the first quarter runs on partial data.
How the automated workflow runs
Each step is fixed rules, a model reading or drafting, or a person on your team. The people steps are where approvals sit.
- 1
Group and order the documents
Leases and amendments are grouped by premises and sorted by effective date so later amendments are applied after earlier terms. Scans without a text layer are recognized first.
Rules - 2
Locate the clauses
Finds the clause for each term on your abstract template: rent schedule, escalations, term, options, CAM and recoveries, deposit, assignment, use and notice addresses.
Model - 3
Extract the values
Reads each value together with its page and paragraph reference. Where an amendment changes a term, it shows both the original and the amended text.
Model - 4
Validate
Checks that commencement precedes expiry, option notice periods fall inside the term, rent steps add up to the stated annual figure and every required field is present.
Rules - 5
Review
A lease administrator sees each uncertain or conflicting field beside the highlighted clause, confirms or edits it, and signs off the abstract.
Person - 6
Publish and set alerts
Confirmed fields are written to your lease module or tracking sheet. Notice and option dates become calendar alerts that carry a link to the clause.

Controls and approvals
- Every extracted field carries a link to the page and clause it came from, so a reviewer verifies in one click instead of searching.
- Fields under your confidence threshold, conflicting amendments and every date that starts a notice period are reviewed by a person before they reach the database.
- Leases stay in your storage or an environment we run for you, and are not used to train models for other clients.
What we leave to people
The system reports what the lease says. It does not interpret ambiguous clauses, advise on rights or decide whether a notice is valid, and those questions go to counsel or the asset manager. Handwritten rider pages go straight to a person.

We read leases from a shared drive, email or document store, and write abstracts to your lease administration module, a database or the spreadsheet your team already uses. Alerts go to the calendars your team opens every day.
What to measure
We set a baseline from your own records in the audit, then report these every month.
Illustrative example
Onboarding 300 leases at 90 minutes of analyst time each is 450 hours. With review-first abstracts the analyst checks instead of types, and we measure review minutes per lease on a sample of yours before quoting any saving.
| Measure | How to read it |
|---|---|
| Field accuracy | Score abstracts per field against leases abstracted by hand, before launch and on a monthly sample. |
| Review minutes per lease | Time a reviewer spends confirming an abstract, grouped by lease length. |
| Missed or late critical dates | Notice or option deadlines discovered after the window opened. Each one gets a post-mortem. |
| Backlog age | Leases waiting for abstraction, by days since receipt. |
Common questions
What is lease abstraction?
It is the process of reading a lease and recording its key terms in a standard summary: parties, premises, rent and escalations, term and options, recoveries, notice dates and special clauses. The abstract lets people find a term without reopening a long document.
How accurate is AI lease abstraction?
Accuracy depends on scan quality and on how varied your leases are, so we score it per field against leases you have already abstracted by hand. Anything below the threshold you set is reviewed by a person before it is saved.
Can it handle amendments and side letters?
Yes. Documents are ordered by effective date, and each field shows the clause history so the reviewer can see which amendment changed it. Conflicting amendments always go to a reviewer.
Does it work for residential leases or only commercial ones?
Both. Residential leases are shorter and more uniform, so the gain is mostly data entry. Commercial leases with CAM, options and escalations are where review-first abstraction saves the most analyst time.
