Rental application processing automation

Rental application processing automation collects pay stubs, IDs, bank statements and references, checks that each file is complete, legible and for the right period, and hands your leasing team a ready file with the gaps listed. Your team and your written screening criteria make every approval decision.

Where the time goes today

What property management teams tell us about this work.

How the automated workflow runs

Each step is fixed rules, a model reading or drafting, or a person on your team. The people steps are where approvals sit.

  1. 1

    Send the checklist

Each applicant gets a checklist built from your criteria (for example, three recent pay stubs, a photo ID and two months of statements) with a secure upload link.

    Rules
  2. 2

    Identify each upload

Each file is recognized as a pay stub, ID, bank statement or reference and attached to the right applicant. Unreadable files are returned at once with the reason.

    Model
  3. 3

    Read the fields

Employer, pay period, gross pay, account holder, statement dates and ID expiry are extracted, with the page and region shown beside every value.

    Model
  4. 4

    Check against your criteria

Names match across documents, dates fall in the required window, the ID is unexpired, and income is calculated with the formula your policy defines. Differences are listed, not resolved.

    Rules
  5. 5

    Flag inconsistencies

Totals that do not add up, or year-to-date figures that do not follow from the previous stub, are marked for a person to examine. A flag is a prompt to look and carries no verdict.

    Rules
  6. 6

    Decide

A leasing manager reviews the file and decides under your screening policy. Any required adverse action notice follows your screening provider's process and your counsel's guidance.

Controls and approvals

  • IDs, pay stubs and bank statements are stored with access limited to the leasing staff on that file. Retention follows your policy and deletions are logged.
  • Income and completeness rules are written down, versioned and applied identically to every applicant. Changing a rule needs a named approver.
  • Fields below the extraction confidence you set, such as a smudged gross pay figure, go to a reviewer with the image beside the value.

What we leave to people

The system does not approve or deny, score applicants or decide that a document is forged. It reports what a document says and where it disagrees with another. Credit and criminal screening stay with your screening provider.

Systems it connects to

Examples of tools we work with for this workflow. Anything with an API or a controlled interface is in scope.

  • AppFolio
  • Buildium
  • Yardi
  • Entrata
  • RealPage
  • Rent Manager

Uploads land in a secure portal or your existing application flow. The checked file and the gap list are written to the applicant record in your property management platform through its API where available.

What to measure

We set a baseline from your own records in the audit, then report these every month.

Illustrative example

A leasing office handles 80 applications a month and takes 15 minutes to check each file, which is 20 hours of checking. Catching gaps at upload shortens the back-and-forth, but we only quote a saving after timing your real files in the audit.

Measures for Application file checks
MeasureHow to read it
Complete on first submissionShare of applicants whose first upload meets the checklist.
Staff minutes per fileTime to move a file from received to decision-ready, sampled before and after launch.
Extraction accuracyField-level match against a hand-keyed sample of your own files before go-live, then monthly spot checks.
Repeat requestsApplicants asked twice for the same missing item.

Common questions

Can AI approve or deny rental applications?

We do not build that. Approval stays with your leasing team under your written criteria, which matters for fair housing and adverse action rules. The system prepares the file and shows the gaps.

How accurate is data extraction from pay stubs and bank statements?

It depends on document quality, so we measure it on a sample of your own files before launch. Values the model is unsure about go to a reviewer with the image beside them.

Does it detect fake documents?

It flags internal inconsistencies, such as totals that do not add up. That is a reason for a person to look more closely, and the system never accuses an applicant. Verification calls to employers stay with your team.

Where are applicant documents stored, and for how long?

In your systems or an environment we run for you, with access limited to the people on the file. Retention and deletion follow your policy. The documents are not used to train models for other clients.
