Property maintenance call automation
A voice agent answers resident maintenance calls at any hour, asks the questions your technicians need answered, sorts emergencies from routine requests using rules you write, and opens a complete work order in your property management system. Your on-call manager is paged only when your rules say so.

Where the time goes today
What property management teams tell us about this work.
Messages instead of work orders
After-hours calls go to an answering service that takes a name and a number. The next morning a coordinator calls back, asks what the service did not, and retypes it all into the work order screen in Yardi or AppFolio.
Everything sounds urgent at 2 a.m.
A dripping faucet and a burst supply line trigger the same page to the on-call manager because the service cannot tell them apart. Managers learn to silence the pages, which is the real risk.
Missing details cost a second truck visit
A work order that says 'AC not working' sends a technician without the unit type, the thermostat reading, a note about pets, or whether entry is allowed when nobody is home. Vendors bill a trip charge when the first visit fails.
How the automated workflow runs
Each step is fixed rules, a model reading or drafting, or a person on your team. The people steps are where approvals sit.
- 1
Match the caller to a unit
Looks up the caller's number against residents in your system and confirms the address by voice. Unknown numbers go through a short verification script.
Rules - 2
Take the report
Holds a natural conversation and asks the questions from your checklist for that issue type: where the leak is, whether the water can be shut off, whether anyone is vulnerable at home.
Model - 3
Apply the emergency rules
Your list of emergencies runs as fixed logic over the answers: active leaks, no heat in cold weather, gas smell, lockouts, fire or security issues. When the answers are unclear, the call is treated as urgent.
Rules - 4
Collect photos and access
Texts the resident a link for photos, records entry permission, pets and a preferred window, and reads the details back to confirm.
Rules - 5
Write the work order
Creates the work order through your platform's API with category, priority, summary and transcript link. For emergencies it dispatches an approved vendor inside the cost limit you set.
Rules - 6
Review and approve
The on-call manager gets a page with a summary for emergencies. The coordinator reviews flagged calls each morning and approves vendor assignments above your limit.

Controls and approvals
- Emergency rules are written by you, approved in writing before launch and tested on scripted calls. Gas smells and fire or medical situations get a fixed script that tells the caller to contact emergency services or the utility first.
- Vendor dispatch has a cost limit by property. Anything above it waits for a named approver, and every call has a recording and transcript linked to its work order.
- Call recording and AI disclosure rules differ by state and country. We confirm them with your counsel and write the greeting with you before launch.
What we leave to people
The agent does not diagnose faults or promise repair times. It collects facts and applies your triage rules. We also leave habitability disputes, lease violations and any mention of legal action with a person from the first sentence.
Systems it connects to
Examples of tools we work with for this workflow. Anything with an API or a controlled interface is in scope.
- AppFolio
- Buildium
- Yardi
- Rent Manager
- Propertyware
We read residents and units and write work orders through each platform's API where your plan includes one, and use controlled browser automation, with the same logging, for screens that have none. PROPTURE, our property operations system, already runs this intake pattern.
Related system in production: PROPTURE. Runs property operations, with voice agents on the phones.
What to measure
We set a baseline from your own records in the audit, then report these every month.
Illustrative example
A 600-unit portfolio receives 90 maintenance calls a week and a quarter of them come after hours. At 6 minutes of coordinator time to call back and retype each one, that is about 2 hours a week before any vendor chasing. Your volumes will differ, and the audit measures them first.
| Measure | How to read it |
|---|---|
| Time to work order | Minutes from the end of the call to a complete work order, taken from system timestamps. |
| Emergency classification accuracy | A coordinator re-classifies a monthly sample of recorded calls. Count misses in both directions: urgent called routine, and routine called urgent. |
| Repeat visits per request | Work orders that needed a second trip because information was missing the first time. |
| After-hours pages | Pages sent to on-call managers each week, and the share that were true emergencies on review. |
Common questions
How is this different from an answering service?
An answering service takes a message. This agent asks issue-specific questions, applies your emergency rules, collects photos and access details, and creates the work order itself. A person still handles disputes, exceptions and anything the rules do not cover.
Can an AI voice agent decide what counts as an emergency?
It does not decide. Your rules do, and the agent only gathers the facts they need. When an answer is unclear the call is treated as urgent. We test the rules against scripted and recorded calls before launch and review a sample every month.
Will residents know they are talking to an AI?
We write the greeting with you, and disclosure requirements vary by state and country, so we confirm yours with your counsel. A resident can ask for a person at any point and is transferred during staffed hours or the on-call manager is paged.
What does property maintenance call automation cost?
It depends on call volume, the number of properties and how many systems the work orders must reach. We scope it with a fixed-fee audit of your real calls, then give a fixed build price and a monthly run fee. We do not publish a rate card.
