NetSuite AP automation with AI agents

We build AI agents that run your NetSuite accounts payable cycle: reading supplier invoices, creating vendor bills, matching them to purchase orders and item receipts, routing approvals and preparing payment batches. Your AP team reviews exceptions and approves postings. The agents connect through SuiteTalk REST web services with OAuth 2.0, and we test in a sandbox first.

NetSuite

For finance teams on NetSuite that key in vendor bills by hand, or that already own an AP tool and still chase exceptions in email.

What we automate in NetSuite

The accounts payable cycle from the invoice in the inbox to the payment batch, with your team approving what matters.

  • 1

    Invoice capture to vendor bill

Invoices from email and supplier portals are read, checked against the vendor record and created as vendor bills, with lines coded to your accounts, departments, classes and locations.

  • 2

    PO and item receipt matching

Bills for PO-backed spend are created from the purchase order, so the link stays intact, then compared with item receipts. A price or quantity gap goes to the buyer with both values side by side.

  • 3

    Approval routing

Each bill goes to the approver your rules name by amount, vendor and cost center. Reminders go out, and the answer is written back to the bill with who approved and when.

  • 4

    Payment run preparation

Approved bills are grouped by due date and early-payment discount into a proposed batch. Someone with payment authority reviews and releases it. The agent never does.

  • 5

    Bank and card reconciliation

Bank lines are matched to vendor payments and card transactions. Unmatched items come back as a short list with the likely cause beside each.

  • 6

    Close tasks

Received-not-invoiced lines become accrual candidates, open-bill aging is summarized, and the close checklist is updated as each check passes.

How one NetSuite run works

Each step is fixed logic, a model doing the reading, a call to the system, or a person on your team. You decide which steps wait for approval.

  • Capture · intake agent

Reads the invoice PDF from the AP inbox

  • Vendor check · rules engine

Matches tax ID and remit-to against the vendor record

  • Create bill · netsuite integration

Transforms the PO into a vendor bill

  • Match · matching agent

    Compares lines with item receipts

  • Approve · your team

Approver reviews the one flagged line

  • Queue payment · netsuite integration

Adds the bill to the proposed batch

How the NetSuite integration works

We build on the interfaces the vendor documents, and we link the documentation so you can check it.

Most of the work happens outside NetSuite. An agent reads the invoice, a rules layer applies your coding and approval policy, and only the final, checked write goes to NetSuite through REST. That keeps the account clean and makes the logic easy to change without a script deployment.

One date matters if you have older integrations. Oracle's documentation says the 2025.2 SOAP endpoint is the last planned one and that SOAP web services end with the 2028.2 release. We build on REST and can map an existing SOAP integration to it.

  • SuiteTalk REST web services

The record service creates and updates vendor bills and reads purchase orders and item receipts. The query service runs SuiteQL for open POs, aging and duplicate checks. Record transformation turns a purchase order into a bill.

  • OAuth 2.0

Authentication for the integration role. Oracle's documentation points new integrations to REST with OAuth 2.0.

  • SuiteScript

Server-side JavaScript that runs inside your account. We use it only when a check must fire on save inside NetSuite, such as a user-event script that blocks a duplicate bill number.

  • SuiteCloud Development Framework

Packages any scripts and custom objects so they deploy to a sandbox first and to production second, with the same files.

Vendor documentation we build against

Links open the vendor's own site. Interfaces change, so we confirm current behavior in a sandbox before we build.

What we read and write in NetSuite

Reading is the default. Each write has a named gate, so you can see who has to agree before anything changes.

  • Vendor

Read to match name, tax ID and bank details. Created only on request.

Gate: Approver for any new vendor

  • Vendor bill

Created with coded lines. Coding edits are logged.

Gate: Approval before status moves on

  • Purchase order

Read, then transformed into a bill when the invoice is PO-backed.

    Gate: Read only

  • Item receipt

Read to compare received quantities with billed quantities.

    Gate: Read only

  • Vendor payment

Proposed as a batch for review.

    Gate: Payment authorizer releases

  • Journal entry

Drafted for accrual candidates at close.

    Gate: Controller posts

Controls and testing

People stay in charge of money and records. The system keeps the evidence.

  • A role with narrow permissions

The integration signs in as its own role with only the record permissions it needs. It is never an administrator, and it cannot approve a bill it created.

  • Sandbox before production

We build against a sandbox account refreshed from production, replay real invoice samples, and compare the bills we create with the ones your team created by hand.

  • A log you can audit

Every run records the source invoice, what the model read, which rules fired, who approved and the NetSuite record ID. NetSuite's own system notes show the integration role's changes on the record.

  • Duplicates stopped twice

We check vendor, invoice number, amount and date before creating a bill, and a SuiteQL lookup runs again just before the write in case another user posted it meanwhile.

Where we stop, and what to expect

  • Accounts with heavily customized bill forms or custom approval workflows need a discovery pass first. We map every custom field before we write one.
  • We usually don't automate vendor creation. Duplicate vendors cause most duplicate payments, so a person approves every new vendor.
  • Large catch-up runs are batched to stay within your account's request limits, so a backlog of thousands of invoices takes hours, not minutes.

Questions about NetSuite automation

Can AI create vendor bills in NetSuite automatically?

Yes. An agent reads the invoice, and your rules decide the vendor, accounts and approver. The bill is then created through SuiteTalk REST. For PO-backed invoices we transform the purchase order into the bill. A person approves anything outside your tolerances, and we agree the tolerances with you first.

Do you use SuiteScript or the REST API?

Mainly REST, from outside the account. We add SuiteScript only for checks that have to run inside NetSuite on save. Keeping most logic outside means fewer script deployments and an easier rollback.

Is NetSuite's SOAP API still safe to build on?

Oracle's documentation says SOAP web services end with the 2028.2 release and that new integrations should use REST with OAuth 2.0. We build new work on REST and can migrate existing SOAP calls.

Does this replace our approval workflow in NetSuite?

No. If you use NetSuite's own bill approval, we respect the status it sets. If approvals happen in email or chat today, the agent can collect them and write the decision back to the bill.

How do you test without risking our books?

We work in a sandbox first and replay a sample of your real invoices. Production access starts read-only, then moves to writes for a small vendor set, and widens only after your team has checked the results.
