Sage Intacct AP automation with AI agents

We build AI agents that run accounts payable in Sage Intacct: capturing invoices, creating AP bills coded to your dimensions, matching them to purchasing transactions, routing approvals and preparing payments. Your AP team approves the exceptions. The agents use the Sage Intacct REST API, or the XML API where an old integration needs it, tested in a sandbox first.

Sage Intacct

For finance teams on Sage Intacct, often multi-entity, that spend their AP time on coding, entity allocation and approval chasing.

What we automate in Sage Intacct

The accounts payable cycle from the invoice in the inbox to the payment batch, with your team approving what matters.

  • 1

    Invoice capture to AP bill

Invoices are read and entered as AP bills against the correct vendor and entity, with amounts, terms and due dates checked against the vendor record.

  • 2

    Dimension coding

Lines are coded to account, department, location, project and any custom dimensions your chart uses. The agent proposes values from past bills, and low-confidence lines go to a person.

  • 3

    Multi-entity allocation

Where one invoice covers several entities, the split follows your allocation rules, and the intercompany effects are checked before anything is written.

  • 4

    Purchasing match

Invoices for purchased goods and services are compared with purchasing transactions, so variances surface before the bill is approved.

  • 5

    Approvals and payment prep

Bills route to approvers by amount, entity and project. Approved bills are grouped into a proposed payment run that a person releases.

  • 6

    Close checks

Unposted and unapproved bills, accrual candidates and aging are reported before the period closes, so the controller isn't surprised on the last day.

How one Sage Intacct run works

Each step is fixed logic, a model doing the reading, a call to the system, or a person on your team. You decide which steps wait for approval.

  • Capture · intake agent

Reads the invoice and finds the entity

  • Code · coding agent

Proposes account, department, location and project

  • Match · matching agent

    Compares with the purchasing transaction

  • Create bill · intacct integration

Writes the AP bill with dimensions

  • Approve · your team

Project manager approves the over-limit bill

  • Queue payment · intacct integration

Adds the bill to the proposed run

How the Sage Intacct integration works

We build on the interfaces the vendor documents, and we link the documentation so you can check it.

Dimensions are the reason Intacct coding is hard to hand over to generic OCR tools. We read your dimension set during discovery, learn which combinations are valid, and reject an invalid combination before the write, not after the API returns an error.

Sage has said its developer documentation is moving to developer.sage.com/intacct with the FY27 R1 release, and that the XML API itself isn't changing. We pin API behavior in tests so a documentation move doesn't surprise anyone.

  • Sage Intacct REST API

Sage recommends it for new client applications. It uses OAuth 2.0 bearer tokens, and we use it to create and read AP bills, vendors and payments.

  • XML API

Still supported, though Sage says legacy functions get few enhancements. We use it when you have an existing XML integration, or an object the REST API doesn't yet cover for your use.

  • AP objects

Sage's reference lists Bills and Recurring Bills, Vendors, AP Payments and AP Adjustments in the Accounts Payable module, and Purchasing Transactions in the Purchasing module.

  • SDKs and sample collections

Sage publishes SDKs for .NET, Node.js and PHP and a Postman collection for the XML API. We use them to confirm behavior in the sandbox before building on it.

Vendor documentation we build against

Links open the vendor's own site. Interfaces change, so we confirm current behavior in a sandbox before we build.

What we read and write in Sage Intacct

Reading is the default. Each write has a named gate, so you can see who has to agree before anything changes.

  • Vendor

Read to match the invoice. Created only on request.

Gate: Approver for any new vendor

  • AP bill

    Created with dimension-coded lines.

Gate: Approval by amount, entity or project

  • Purchasing transaction

Read to compare quantities and prices.

    Gate: Read only

  • AP payment

Proposed as a run for review.

    Gate: Payment authorizer releases

  • AP adjustment

Drafted for credit notes and corrections.

    Gate: Controller approves

  • Dimensions

Read to validate combinations before writing.

    Gate: Read only

Controls and testing

People stay in charge of money and records. The system keeps the evidence.

  • Entity-aware permissions

The integration user is restricted to the entities and objects the workflow needs. It can't approve a bill it created, and it has no access to entities outside the project.

  • Sandbox first

We replay real invoices in a sandbox or test company, then compare dimension coding with what your team entered by hand before any production write.

  • Audit trail across systems

Each run stores the invoice, the model's reading, the rules applied, the approver and the Intacct record number, so an auditor can walk from document to ledger.

  • Invalid coding never reaches the ledger

A combination of dimensions that your setup rejects is caught in our rules layer and sent to a person with the reason.

Where we stop, and what to expect

  • Complex allocation and intercompany rules need written policy before we automate them. If the rule only lives in someone's head, we help write it down first.
  • Custom objects and custom fields can differ by tenant. We confirm what your REST and XML interfaces expose during discovery.
  • We don't auto-release payments. Releasing money stays with the people your controls name.

Questions about Sage Intacct automation

Can AI code invoices to Sage Intacct dimensions correctly?

It can propose them well when your history is clean. The agent suggests department, location, project and custom dimensions from past bills, validates the combination against your setup, and routes low-confidence lines to a person. We measure accuracy on your own invoices before going live.

Does it use the REST API or the XML API?

REST for new work, because Sage recommends it for client applications. We use the XML API where you already have an XML integration or where a needed object isn't available through REST for your tenant.

Can it handle multi-entity invoices?

Yes, with written allocation rules. The agent applies the split, checks the intercompany effects and holds anything that doesn't fit the rules. If your allocation lives in a spreadsheet, we start by turning it into rules.

Will it change our existing approval chain?

No. We follow the chain you have, by amount, entity or project. The agent chases and collects the approvals and writes the result to the bill, so nothing is approved by anyone you haven't named.

How long before the first invoices run through?

That depends on your dimension setup and how many vendors you want covered. We usually start with a few high-volume vendors in a sandbox, then widen. We will give a timeline after the discovery call, not before.
