SAP Concur AP automation with AI agents

We build AI agents around SAP Concur Invoice that read supplier invoices, prepare them as payment requests, check vendors and purchase orders, and chase approvers. The same agents pre-review Concur Expense reports against your policy before a manager opens them. Everything runs on Concur's REST APIs with OAuth 2.0, and people approve what matters.

SAP Concur

For finance teams that run Concur Invoice or Concur Expense and still spend their week on emailed PDFs, approval reminders and policy checks done by eye.

What we automate in SAP Concur

The accounts payable cycle from the invoice in the inbox to the payment batch, with your team approving what matters.

  • 1

    Invoice intake to payment request

Invoices from email and supplier portals are read, matched to a vendor record and prepared as payment requests, with line items coded to your accounts, cost centers and allocations.

  • 2

    Purchase order and receipt checks

An invoice that cites a purchase order is compared with the order and its receipt. A price or quantity gap goes to the requester with both figures beside each other.

  • 3

    Vendor and bank detail checks

New vendors and changed remit-to details stop for a person. A call to the supplier on a known number settles it before any payment is prepared.

  • 4

    Approval chasing

Approvers get a short summary with the invoice attached. Reminders follow your escalation rules, and the answer is recorded with who gave it and when.

  • 5

    Expense report pre-review

Before a manager opens a report, the agent checks each line against policy: missing receipt, duplicate claim, date outside the trip, amount over the limit. The manager still decides.

  • 6

    Payment status follow-up

Where Concur exposes payment confirmations, the agent reads them back, so AP can see which approved invoices were paid without opening each one.

How one SAP Concur run works

Each step is fixed logic, a model doing the reading, a call to the system, or a person on your team. You decide which steps wait for approval.

  • Capture · intake agent

Reads the invoice PDF from the AP inbox

  • Vendor check · rules engine

Compares vendor and bank details with the Concur record

  • Match · matching agent

Compares lines with the purchase order and receipt

  • Prepare · concur integration

Builds the payment request with coded lines

  • Approve · your team

Approver reviews the one flagged line

  • Track · concur integration

    Reads the payment confirmation back

How the SAP Concur integration works

We build on the interfaces the vendor documents, and we link the documentation so you can check it.

Concur is the system where invoices and expense reports get approved. Your ERP is usually where they post. Our agents work on the Concur side, and we keep the hand-off to the ERP exactly as you run it today.

Token type matters for approvals. Concur's Workflows v4 page says the short Approve and Send Back calls accept a company-level token, while the long form needs a user-level token. We design around that, and approvals stay with the people who own them.

  • Invoice APIs

Concur's API reference groups invoice work under payment requests (Invoice v3), purchase orders and receipts (Purchase Orders v3, Purchase Orders Receipt v3), vendors (Vendor v3.1) and payments (Invoice Pay v4, Invoice Payment Confirmation v4). Which of these allow writes for your setup we confirm in discovery.

  • Expense Reports v4 and Workflows v4

Reports v4 reads report content for the pre-review. Workflows v4 covers Approve, Send Back, Recall and Submit, with scopes such as expense.report.workflowstatus.write. We read by default and don't call Approve.

  • OAuth 2.0

Concur supports authorization code, password, client credentials, one-time password and refresh token grants. Access tokens last one hour and refresh tokens six months, so we store and rotate the refresh token.

  • Token geolocation

Each token response carries a geolocation base URL. Concur says to use it as the base for every later call, so we store it with the token instead of hard-coding a data center.

Vendor documentation we build against

Links open the vendor's own site. Interfaces change, so we confirm current behavior in a sandbox before we build.

What we read and write in SAP Concur

Reading is the default. Each write has a named gate, so you can see who has to agree before anything changes.

  • Vendor

Read to match the invoice. Changes are proposed, not made.

Gate: AP lead for any new vendor

  • Payment request (invoice)

Prepared with coded lines, or handed to a person to submit where the API is read-only for your setup.

Gate: Approval by amount and cost center

  • Purchase order and receipt

Read to compare quantities and prices.

    Gate: Read only

  • Expense report

Read and annotated with policy findings.

    Gate: Manager approves, as today

  • Approval step

Reminders sent. Decisions recorded as the approver gave them.

    Gate: The named approver

  • Payment confirmation

    Read to show paid status.

    Gate: Read only

Controls and testing

People stay in charge of money and records. The system keeps the evidence.

  • Scoped application access

Your Concur administrator registers the application and decides which scopes it holds. Concur's own documentation notes that reading its docs doesn't grant API access, so access is a step your admin takes on purpose.

  • Test before live data

We replay real invoice and report samples in a test setup first, where your Concur agreement provides one, and compare the output with what your team did by hand.

  • Evidence on every run

Each run stores the source invoice, what the model read, the rules that fired, the approver and the Concur record ID. Concur returns a correlation ID with its responses, and we log it for support.

  • No approvals by agent

The agent never approves an invoice or an expense report. It prepares, flags and reminds. A person answers.

Where we stop, and what to expect

  • Concur Invoice and Concur Expense are separate products. Concur's Workflows v4 page says clients must purchase Concur Expense to use that API, and we check your licenses before scoping.
  • We don't automate vendor creation or bank detail changes. Those are the usual route for payment fraud, so a person confirms each one.
  • Concur is not your general ledger. Posting, payment runs and reconciliation still happen in your ERP, and our work there is covered on that system's page.

Questions about SAP Concur automation

Can AI automate accounts payable in SAP Concur Invoice?

Yes, around it. The agent reads invoices, checks the vendor and purchase order, prepares the payment request and chases approvers. A person approves anything outside your rules. Whether an outside app can create payment requests or only read them depends on your setup, which we confirm in the first call.

How do you connect to Concur?

Through Concur's REST APIs with OAuth 2.0. Your administrator registers the application and grants scopes. Tokens are rotated, and the data center base URL comes from each token response.

Can the agent approve expense reports?

By default no. It checks each line against your policy and leaves a note for the manager, who approves in Concur as before. Concur's Workflows v4 does support Approve, but we don't use it unless you ask for a narrow case.

We only use Concur Expense. Is this still relevant?

Yes. The expense pre-review works on Expense alone. The invoice work needs Concur Invoice, and we say so before you spend anything.

Does it replace our ERP integration?

No. Your existing path from Concur to the ERP stays. We add the reading, matching and chasing in front of it, and we check that nothing we prepare changes what the ERP receives.
