QuickBooks AP automation with AI agents
We build AI agents that handle accounts payable in QuickBooks Online: reading supplier invoices, creating bills against the right vendor and accounts, flagging duplicates, routing approvals and lining up bill payments. Your bookkeeper or controller approves the exceptions. The agents use the QuickBooks Online Accounting API with OAuth 2.0 and are tested in an Intuit sandbox company first.
For small and mid-sized finance teams, and the bookkeeping firms that serve them, where bills still arrive as PDFs in an inbox.
What we automate in QuickBooks Online
The accounts payable cycle from the invoice in the inbox to the payment batch, with your team approving what matters.
- 1
Bill entry from email
Invoice PDFs are read and turned into bills with the vendor, bill date, due date, terms and category lines filled in. A bookkeeper sees only the ones the agent was unsure about.
- 2
Vendor and chart of accounts checks
Each invoice is matched to an existing vendor first. If the vendor is new or the bank details differ from the last bill, the invoice waits for a person.
- 3
Purchase order links
Where you use purchase orders, the bill is linked to its PO so open commitments stay accurate in QuickBooks.
- 4
Approval requests
Owners and department heads get a short summary with the invoice attached, and approve or reject in their reply. The decision is recorded against the bill.
- 5
Bill payment batches
Bills due this week are grouped with early-payment terms shown. You choose what to pay, and the agent prepares the bill payments.
- 6
Bank feed reconciliation
Bank transactions are matched to bill payments and categorized expenses, and the leftovers are listed with a suggested match.
How one QuickBooks Online run works
Each step is fixed logic, a model doing the reading, a call to the system, or a person on your team. You decide which steps wait for approval.

How the QuickBooks Online integration works
We build on the interfaces the vendor documents, and we link the documentation so you can check it.
QuickBooks Online is the system of record, and the agents sit around it. An intake agent reads each invoice and a rules layer applies your coding and approval policy. Only the final, checked bill is written through the Accounting API.
QuickBooks has no receiving step like the item receipt in a larger ERP. When you need a receipt check, we take it from wherever receiving happens today (a delivery confirmation email, a shared sheet, a warehouse tool) and compare it to the bill before approval.
QuickBooks Online Accounting API
The REST API reads and writes the entities we need: bills, vendors, bill payments, purchase orders and accounts. Intuit's guidance is that a bill must reference an existing vendor and accounts, so we check both before the write.
OAuth 2.0
Each client company authorizes the app with the scopes it needs. Intuit issues the client credentials per app in its developer portal.
Linked transactions
Used to tie a bill to its purchase order where you buy against POs.
Sandbox company
Intuit provides sandbox companies for development. We build and replay your invoice samples there before touching a live file.
Vendor documentation we build against
- What you can do with the QuickBooks Online Accounting API (Intuit)
- Basic schema and data formats for the Accounting REST API (Intuit)
- Bill payment in QuickBooks Online (Intuit)
- Manage linked transactions (Intuit)
Links open the vendor's own site. Interfaces change, so we confirm current behavior in a sandbox before we build.
What we read and write in QuickBooks Online
Reading is the default. Each write has a named gate, so you can see who has to agree before anything changes.
Vendor
Read to match the invoice. Created only when a person confirms.
Gate: Approver for any new vendor
Bill
Created with category or item lines, terms and due date.
Gate: Approval above your threshold
Purchase order
Read and linked to the bill where used.
Gate: Read, link logged
Bill payment
Prepared for the bills you select.
Gate: Owner or controller releases
Chart of accounts, classes, locations
Read to code lines correctly.
Gate: Read only
Attachments
Original invoice file stored with the bill.
Gate: Logged with the bill
Controls and testing
People stay in charge of money and records. The system keeps the evidence.
Scoped, revocable access
The company owner authorizes the connection and can revoke it from QuickBooks at any time. The agents hold no password to your books.
Test in a sandbox company
We run your real invoice samples through a sandbox company, compare the bills with the ones your bookkeeper entered, and only then connect to the live file.
Approval you can show an auditor
The approver, the time and the invoice image are stored with each run, and the same trail is attached to the bill in QuickBooks.
Bank detail changes held
If an invoice shows new remit-to details for a known vendor, we stop and ask someone to confirm with the vendor by phone. This is the check that blocks most invoice fraud.
Where we stop, and what to expect
- QuickBooks Online has no native three-way match. We add a receipt check outside QuickBooks, and it is only as good as the receiving record you have.
- Very high invoice volumes, or multi-entity groups that need consolidation, are usually better served by a larger ERP. We will say so in the first call.
- We don't automate payment release for small teams unless an owner asks for it, and then only under a limit they set.
Questions about QuickBooks Online automation
Can QuickBooks Online bills be created automatically from emailed invoices?
Yes. The agent reads the PDF, finds the vendor, fills the bill fields and suggests categories from past bills. Bills inside your rules can be created straight away. Anything unusual waits for a bookkeeper with the reason shown.
Does QuickBooks Online support three-way matching?
Not natively, because it has purchase orders and bills but no receiving record. We can add a receipt check outside QuickBooks, using wherever you confirm deliveries today, and compare it with the bill before approval.
Will this work with QuickBooks Desktop?
This page covers QuickBooks Online and its Accounting API. Desktop uses a different integration route. Tell us which version you run and we will say honestly whether we can help.
Who can see our financial data?
Only the connection your company owner authorizes, limited to the scopes agreed. Invoice data is processed to build the bill. We can discuss data handling and retention in detail before you connect anything.
We use an accountant. Can they stay in control?
Yes. Many setups route approvals to the accountant or bookkeeping firm. They see the same queue, approve or correct, and the agent learns the coding they prefer for the next invoice.
