Workday AP automation with AI agents for Financials and HCM
We build AI agents for Workday Financials that read supplier invoices, check suppliers and purchase orders, and submit supplier invoices through Workday Web Services as drafts or into the business process. On the HCM side, agents check hire and change paperwork for completeness before HR submits it. Workday approvals and security stay in charge.
For finance teams on Workday Financials whose invoices still arrive as PDFs, and HR teams on Workday HCM who check paperwork by hand before each transaction.
What we automate in Workday
The accounts payable cycle from the invoice in the inbox to the payment batch, with your team approving what matters.
- 1
Supplier invoice submission
Invoices are read and sent to Workday as supplier invoices, with the supplier, company, dates, lines and the original file attached. We choose per supplier whether they land as a draft or go into the business process.
- 2
Purchase order matching
Invoices that cite a purchase order are compared with the order and what was received. The buyer sees the lines that differ and fixes them before approval.
- 3
Worktag coding
The agent proposes worktags from the supplier's past invoices and your coding rules. A combination your business process would reject is caught before the submit, with the reason shown.
- 4
Hold and exception handling
Invoices that fail a check are held with a reason and an owner, and the queue shows age. Workday has an operation for changing the on-hold status of supplier invoices, which we use only where you agree.
- 5
Approval follow-up
Approvers who haven't acted get a nudge with the invoice summary. Escalation follows your chain, and Workday keeps the official record of who approved.
- 6
HR paperwork checks
For hires, changes and leaves, the agent checks documents against your checklist and tells HR what is missing. HR submits the transaction. The agent doesn't.
How one Workday run works
Each step is fixed logic, a model doing the reading, a call to the system, or a person on your team. You decide which steps wait for approval.
Capture · intake agent
Reads the invoice and finds the PO number

How the Workday integration works
We build on the interfaces the vendor documents, and we link the documentation so you can check it.
One flag needs care. Submit_Supplier_Invoice has an Auto_Complete option that, per Workday's reference, auto-approves steps and suppresses notifications. We never set it, because it would skip the approvals you built.
Workday also scans invoices itself: it has an OCR operation and a work queue for draft invoices. If your team uses that already, we read from it or add checks around it. We confirm your worktag model and business process setup before writing anything.
Workday Web Services (SOAP)
Workday's directory lists Financial_Management, Resource_Management (suppliers, supplier accounts, expenses) and Human_Resources as services. Supplier invoice operations sit in Resource_Management, including Submit_Supplier_Invoice, Get_Supplier_Invoices and Get_Purchase_Orders.
Submit_Supplier_Invoice
Adds or updates a supplier invoice and submits it to the business process. Workday's reference says that without the Submit flag the transaction is saved as a draft, that at least one line is required and that requests over 5,000 lines are rejected.
Import_Supplier_Invoice
The asynchronous route for volume, with a bulk variant. We use it for catch-up loads and keep Submit_Supplier_Invoice for day-to-day invoices.
Security domains and REST
Workday's admin guide names domains such as Process: Supplier Invoice - Core, and we ask your security administrator to grant only what is in scope. Workday also lists REST APIs in its own directory, and we confirm which fit your tenant.
Vendor documentation we build against
- Workday Web Services directory
- Submit_Supplier_Invoice operation (Workday Web Services)
- Resource_Management service operations (Workday Web Services)
- Supplier invoice work area (Workday admin guide)
- Workday REST directory
Links open the vendor's own site. Interfaces change, so we confirm current behavior in a sandbox before we build.
What we read and write in Workday
Reading is the default. Each write has a named gate, so you can see who has to agree before anything changes.
Supplier
Read to match the invoice and verify payment terms. Created only on request.
Gate: AP lead for any new supplier
Supplier invoice
Saved as a draft, or submitted where you've agreed, with lines and attachment.
Gate: Business process approvals
Purchase order
Read to compare lines, prices and quantities.
Gate: Read only
Worktags
Proposed per line and validated before the submit.
Gate: Read only
Invoice hold
Placed or released only by agreed rule.
Gate: AP lead
Worker and organization data
Read to check HR paperwork against the transaction.
Gate: HR partner submits
Controls and testing
People stay in charge of money and records. The system keeps the evidence.
Narrow security domains
The integration identity gets only the domains the workflow needs. It can't approve what it submitted, and it has no access to compensation or other HR data it doesn't read.
Draft by default
Invoices land as drafts until a supplier is proven. Moving a supplier to direct submission is a decision your AP lead records.
Sandbox before production
We build against a sandbox or preview tenant where your agreement includes one, replay real invoices and compare the results with those your team keyed.
Traceable submissions
Each run stores the source file, the extraction, the rules applied, the approver and the Workday invoice reference.
Where we stop, and what to expect
- Workday tenants differ in business process design, worktag model and web service version. We map yours in discovery before we write a single invoice.
- Large invoices have request limits. Anything near Workday's 5,000-line ceiling is split or sent through the import route.
- HR work stays at the paperwork-check level. We don't change worker records, compensation or approvals.
Questions about Workday automation
Can AI automate supplier invoices in Workday?
Yes. The agent reads the invoice, checks the supplier and purchase order, proposes worktags and sends the supplier invoice through Workday Web Services. It lands as a draft or enters the business process, as you choose per supplier, and your normal approvals apply.
Does Workday already have invoice OCR?
Workday documents an OCR route and a work queue for draft invoices. If you use them, we read from that queue or add checks around it. Where your invoices arrive in odd formats or need matching rules Workday doesn't cover, we handle that before the invoice reaches the work queue.
Can the agent skip approvals to go faster?
No. Workday's Submit_Supplier_Invoice has an Auto_Complete setting that auto-approves steps, and we leave it off. Speed comes from clean input and fewer exceptions, not from bypassing your business process.
What about the HR side of Workday?
We check hire and change paperwork against your checklist and tell HR what is missing. HR submits the transaction in Workday. The agent doesn't change worker records.
Do you use the SOAP or the REST API?
Supplier invoice work goes through Workday Web Services today, because Workday documents the operations there. Workday also lists REST APIs, and we confirm in discovery whether a REST resource fits your tenant and use case better.
