Zoho Books automation with AI agents for bills and AP

We build AI agents that do the repetitive payables work in Zoho Books: reading vendor invoices, creating bills through the Zoho Books API, attaching the source file, submitting for approval and flagging duplicates. Your bookkeeper or owner approves. The agents use OAuth 2.0, the right regional data center and your plan's API limits.

Zoho Books

For small and mid-sized businesses and bookkeeping firms on Zoho Books, including those in India and the UAE, where vendor bills still arrive as PDFs and WhatsApp photos.

What we automate in Zoho Books

The accounts payable cycle from the invoice in the inbox to the payment batch, with your team approving what matters.

  • 1

    Bill creation from invoices

Invoices are read and entered as bills with the vendor, bill number, dates, terms, tax treatment and line items. The original file is attached to the bill.

  • 2

    Vendor matching

Each invoice is matched to an existing vendor first, so two spellings of one supplier stay one contact. A new vendor waits for a person.

  • 3

    Purchase order conversion

Where you raise purchase orders, an invoice for one is compared with the order, and the bill is created from the PO so the link is kept.

  • 4

    Submit and approve

Bills are submitted for approval where you use that step. Approvers get a short summary, and the decision is recorded with the bill.

  • 5

    Received e-invoice checks

Structured e-invoice files from suppliers are read and run through the same duplicate, tax and total checks as a PDF.

  • 6

    Payment matching

Bank lines are matched to bills and payments, and the leftovers are listed with a suggested match and the likely reason.

How one Zoho Books run works

Each step is fixed logic, a model doing the reading, a call to the system, or a person on your team. You decide which steps wait for approval.

  • Capture · intake agent

Reads the invoice from email or a chat photo

  • Vendor match · rules engine

Finds the vendor and checks for a duplicate

  • Create bill · zoho integration

Creates the bill with line items

  • Attach · zoho integration

Adds the source file to the bill

  • Approve · your team

    Owner approves above the limit

How the Zoho Books integration works

We build on the interfaces the vendor documents, and we link the documentation so you can check it.

The daily cap shapes the design. On a Standard plan, Zoho lists 2,000 requests per day, and one bill with an attachment takes several calls. We batch, cache lookups and send a backlog over several days if the plan needs it.

Zoho's own help describes e-invoicing inside Zoho Books: GST e-invoicing through the IRP in India, and Peppol-based e-invoicing in the UAE through an accredited provider. That covers invoices you issue. We leave it to Zoho and focus on the bills you receive.

  • Zoho Books API v3

The base is zohoapis under your regional domain, and Zoho lists nine, including .com, .eu, .in, .com.au, .ae and .sa. Every request carries an organization_id. We call the right data center for each client.

  • Bills endpoints

Zoho documents create, update, submit for approval, approve, void, reopen and attachments for bills, and converting purchase orders to bills. These are the calls we use.

  • OAuth 2.0 and scopes

Requests send a Zoho OAuth token, and scopes follow a pattern like ZohoBooks.settings.READ. Access tokens last one hour, and refresh tokens can be revoked by your admin.

  • Request limits

Zoho's documentation sets 100 requests per minute per organization, soft concurrency caps and daily limits from 1,000 on Free to 10,000 on the top plans. We budget calls against your plan.

Vendor documentation we build against

Links open the vendor's own site. Interfaces change, so we confirm current behavior in a sandbox before we build.

What we read and write in Zoho Books

Reading is the default. Each write has a named gate, so you can see who has to agree before anything changes.

  • Vendor

Read to match the invoice. Created only on request.

Gate: Approver for any new vendor

  • Bill

Created with line items, tax treatment and due date.

    Gate: Approval above your threshold

  • Purchase order

Read and converted to a bill where used.

    Gate: Read, conversion logged

  • Attachment

Source file added to the bill.

    Gate: Logged with the bill

  • Vendor payment

Matched to bills. Prepared, not released.

    Gate: Owner releases

  • Chart of accounts and taxes

    Read to code lines correctly.

    Gate: Read only

Controls and testing

People stay in charge of money and records. The system keeps the evidence.

  • Scoped, revocable access

The organization admin authorizes the connection with the scopes agreed. Revoking the refresh token cuts our access.

  • Test organization first

We build in a separate test organization, replay real invoices, and compare the bills with those your bookkeeper entered before touching the live books.

  • Bank detail changes held

A new remit-to on a known vendor stops for a call to the supplier on a number you already hold.

  • Run log you can audit

Each run stores the file, the extraction, the rules applied, the approver and the Zoho bill ID.

Where we stop, and what to expect

  • Plan limits are real. A Free or Standard plan processes fewer invoices per day than the agent could read, and we plan around it or suggest a plan change.
  • Tax rules for India, the UAE and other regions vary. We apply the tax treatment your accountant sets and don't decide what applies to you.
  • We don't pay bills for small teams unless an owner asks, and then only under a limit they set.

Questions about Zoho Books automation

Can bills be created in Zoho Books automatically?

Yes. The agent reads the invoice, matches the vendor, creates the bill through the Zoho Books API and attaches the file. It can submit the bill for approval where you use that step, and your bookkeeper or owner approves.

Does this handle Zoho Books e-invoicing?

Zoho's help describes e-invoicing for India and the UAE inside Books, and that covers invoices you issue. We read the e-invoice files your suppliers send you and check them like any other invoice. Which rules apply to your business is a question for your tax adviser.

How do the API limits affect us?

Zoho lists 100 requests per minute per organization and daily caps by plan. We budget calls, batch lookups and spread a large backlog over days if your plan needs it.

Does it work with our region's Zoho data center?

Yes. Zoho Books runs on several regional domains, and each client is called on its own. We check your domain in the first call.

Can an accounting firm run it across many clients?

Yes. Each organization is authorized separately with its own coding rules, and the firm sees one queue. A client can revoke access without affecting the others.
