Acumatica AP automation with AI agents
We build AI agents that run accounts payable in Acumatica: reading vendor invoices, creating bills through the contract-based REST API, checking them against purchase orders, routing approvals and leaving release to a person. We validate coding before the write and build in a test tenant first.
For mid-market finance teams on Acumatica, often distributors and professional firms, that key bills from PDFs and chase approvers in email.
What we automate in Acumatica
The accounts payable cycle from the invoice in the inbox to the payment batch, with your team approving what matters.
- 1
Bill creation from invoices
Invoices are read and entered as bills, with the vendor, dates, terms and detail lines filled in. The source file is attached to the bill.
- 2
PO matching
A bill for ordered goods is compared with the purchase order and receipts. The differing lines go to the buyer before approval.
- 3
Coding validation
Accounts, branches, subaccounts and projects are validated by our rules layer before the write, so an invalid value is caught in our queue and not silently replaced in Acumatica.
- 4
Approvals
Bills route to the approver your rules name by amount, branch or project. The decision is recorded, and release waits for it.
- 5
Duplicate checks
Vendor, reference number, amount and date are compared against existing bills before creation and again just before the write.
- 6
Close checks
Unreleased bills, uninvoiced receipts and open aging are summarized before the period closes, per branch.
How one Acumatica run works
Each step is fixed logic, a model doing the reading, a call to the system, or a person on your team. You decide which steps wait for approval.
Capture · intake agent
Reads the invoice from the AP mailbox
Validate · rules engine
Checks the vendor, duplicates and coding values

Creates the bill with its detail lines
Match · matching agent
Compares with the PO and receipt
Approve · your team
Approver agrees the final amount

How the Acumatica integration works
We build on the interfaces the vendor documents, and we link the documentation so you can check it.
A community report for endpoint version 24.200.001 says a bill line with an invalid account can save with the vendor's default expense account and return success. We read that as a reason to validate every coded value ourselves, then confirm the behavior on your version in a test tenant.
Bills stay unreleased until someone approves. That keeps the draft-then-release rhythm Acumatica users already know, and it gives the approver a real chance to change a line first.
Contract-based REST API
Acumatica's own material says integrations can retrieve, create and update records and run actions through it, on versioned paths such as /entity/Default/24.200.001/. We create and read bills, vendors and purchase orders here.
Actions through POST
Acumatica states that actions such as Release on Bills and Adjustments can be run through the API as POST calls. We call Release only after an approval is recorded.
Authentication and limits
Acumatica advises designing integrations on its OAuth and OpenID framework. Administrators can review the maximum web service API requests per minute and user caps in its licensing screen, and we stay inside what you set.
Endpoint extensions, webhooks and OData
Custom fields reach the API through an extended endpoint. Webhooks and push notifications let Acumatica tell us when data changes, and OData serves read-only inquiry data.
Vendor documentation we build against
- Acumatica web services: REST API, OData and integration practices (Acumatica)
- REST API not returning error for an invalid account on bill detail (Acumatica community)
Links open the vendor's own site. Interfaces change, so we confirm current behavior in a sandbox before we build.
What we read and write in Acumatica
Reading is the default. Each write has a named gate, so you can see who has to agree before anything changes.
Vendor
Read to match the invoice. Created only on request.
Gate: Approver for any new vendor
Bill and detail lines
Created with coded lines. Not released.
Gate: Approval before release
Purchase order and receipt
Read to compare quantities and prices.
Gate: Read only
Release action
Run on the approved bill.
Gate: Named approver, or your team releases
Accounts, branches, subaccounts, projects
Read to validate coding before the write.
Gate: Read only
Attachments
Source invoice file stored on the bill.
Gate: Logged with the bill
Controls and testing
People stay in charge of money and records. The system keeps the evidence.
A dedicated integration user
The integration signs in as its own user with a role limited to payables and the master data it reads. It can't approve its own bills.
Test tenant first
We replay real invoices in a test tenant and compare the bills with those your team entered before any production write.
Validate before write
Our rules layer checks accounts, branches and projects against your setup, so an invalid value becomes a task and not a quietly wrong bill.
Request budget respected
We batch and page reads so the integration stays within your request limits and leaves room for other integrations.
Where we stop, and what to expect
- Endpoint versions and customizations differ by tenant. We confirm which fields and actions your endpoint exposes before we scope.
- Large backlogs load in batches within your API request limits, so thousands of invoices take hours, not minutes.
- We don't release bills by default. Some teams auto-release small bills from approved vendors, and we set that up only on request.
Questions about Acumatica automation
Can AI create bills in Acumatica?
Yes. The agent reads the invoice, validates the vendor and coding, and creates the bill through the contract-based REST API. It stays unreleased until an approver agrees, and then the Release action runs or your team releases it.
Which Acumatica API do you use?
The contract-based REST API on your tenant's endpoint version. We use OData only for read-only inquiries and webhooks where Acumatica should tell us about a change.
Why do you validate coding yourselves?
A community report for version 24.200.001 describes an invalid account on a bill line being replaced by a default without an error. Catching that before the write is cheaper than finding it at close. We test the behavior on your version.
Can it handle our custom fields?
Often. Acumatica documents extending the default endpoint with custom fields, and we confirm what your tenant exposes in discovery before we promise a field.
Will it fit inside our API limits?
Yes. We read in pages, batch writes and keep inside the request limits your administrator sets. A large first backlog takes longer, and we say so up front.
